Zen Zone Nepal (“we,” “us,” or “our”) provides wellness-based travel experiences for educational, cultural, and recreational purposes. While we are committed to maintaining the highest standards of safety and service, participation in any of our programs is voluntary and undertaken at your own risk.

We do not provide medical, legal, psychological, or financial advice. Our offerings are not a substitute for professional guidance. Participants are responsible for evaluating their own health, fitness, and safety before joining any program.

Zen Zone Nepal is not liable for any personal injury, illness, property damage, loss, delay, or additional expenses arising from participation in our programs, including those caused by third-party providers, natural disasters, political unrest, or personal negligence.

By using our website, booking, or attending our programs, you agree to hold Zen Zone Nepal harmless for any claims or damages resulting from your participation.

2. CANCELLATION & REFUND POLICY

A. Client Cancellations

Due to the significant coordination and preparation required for our programs, we have a firm cancellation and refund policy:

  • 35 days prior to program start date: 50% refund
  • 30 days prior to program start date: No refund
  • No-shows or early departures: No refund

B. Zen Zone Nepal-Initiated Cancellations

In the rare event Zen Zone Nepal cancels a program due to:

  • Force majeure events (e.g., natural disasters, pandemics, political unrest),
  • Minimum participant thresholds not being met based on packages
  • Logistical or safety concerns

We will issue a full refund or provide credit toward a future program, at the participant’s discretion. Zen Zone Nepal is not responsible for any third-party costs (e.g., flights, travel and medical insurances, visas, or gear purchased independently).

C. Travel Insurance Requirement

All participants must carry comprehensive travel insurance covering:

  • Medical emergencies
  • Health risks (moderate to high such as asthma, blood pressure, diabetic, high chronic patients and etc)
  • Trip interruption or cancellation
  • Evacuation
  • Personal liability
  • Dietary restrictions

Proof of insurance may be requested prior to departure.

C. Background Check

  • Police and Vulnerable Sector Check
  • Employment or Education History
  • Proper Government Identification Documentations
  • No Business or Trade in Nepal During Visits 

 3. TERMS & CONDITIONS

By booking with Zen Zone Nepal, you agree to the following:

A. Eligibility & Documentation

  • You must be at least 18 years old (unless part of a youth program with parental consent).
  • Valid passports, visas, and any required travel documents are your responsibility.
  • You agree to provide accurate personal and medical information as requested.

B. Participation Conduct

  • You agree to respect local culture, customs, and the environment.
  • Zen Zone Nepal reserves the right to remove any participant whose behavior is disruptive, unsafe, or non-compliant with group guidelines.

C. Assumption of Risk

  • You acknowledge that participation may involve risks including physical exertion, transportation, weather, or wildlife exposure.
  • You accept full responsibility for these risks and agree to hold Zen Zone Nepal harmless from liability.

D. Payments

  • Full payment is required before program departure.
  • Late or partial payments may result in cancellation without refund.

 4. PRIVACY POLICY

Zen Zone Nepal is committed to protecting your privacy.

A. Information We Collect

  • Personal details (name, contact info, passport details)
  • Health and emergency information
  • Booking and payment information

B. How We Use It

  • To confirm bookings and communicate with you
  • To ensure your health and safety during programs
  • To process payments and improve services

C. Sharing Information

We do not sell or rent your data. Information is only shared with third-party service providers as required for program delivery (e.g., hotels, insurance partners).

D. Data Security

We take reasonable steps to protect your data from unauthorized access, loss, or misuse.

E. Your Rights

You may request to:

  • Access or update your data
  • Delete your information
  • Opt out of marketing communications

 5. HEALTH & SAFETY POLICY

A. Medical Information

All participants are required to disclose relevant medical conditions, allergies, and emergency contacts. Failure to do so may result in dismissal from the program for safety reasons.

B. Fitness to Participate

Participants are responsible for assessing their own physical and mental readiness. Activities may include hiking, cultural immersion, yoga, or remote travel.

C. COVID-19 & Infectious Diseases

Zen Zone Nepal complies with all local and international health regulations. This may include:

  • Mandatory vaccinations or testing
  • Mask use during transport
  • Temperature checks or symptom screening

D. Emergency Preparedness

We maintain protocols for:

  • Natural disasters
  • Medical emergencies (including access to airlift and hospital care)
  • Missing person response

Zen Zone Nepal is not liable for any costs arising from evacuation or emergency treatment, which must be covered by your insurance provider.
